System Codex Policy
Privacy Policy
This policy explains the information System Codex uses to provide, protect and improve the service.
Last updated: 18 August 2026
Information we use
Depending on how you use System Codex, this may include:
- your email address, username and optional profile information
- content you create or edit, reading progress, preferences and saved data
- subscription, payment status and author information
- technical and security information needed to deliver requests, prevent abuse and diagnose problems
Internal analytics
We collect limited first-party usage information, including pages and public content viewed, approximate country, device category, referring domain, sign-in state, selected actions and focused time while the page is visible and the browser is focused. We use this to understand how System Codex is used and improve the service.
An IP address is briefly processed on our server to estimate visitors, but the raw address is not stored in our analytics. Focused time across pages is combined using a date-specific value that expires within 48 hours and cannot be linked across days. The internal collector adds to aggregate totals rather than creating individual browsing histories.
We do not use Google Analytics, analytics cookies, advertising trackers or cross-site tracking.
Cookies and browser storage
System Codex uses only cookies and browser storage needed for features such as secure sign-in, account and site preferences, reading progress and the installable app experience. They are not used for advertising or cross-site tracking.
Why we use information
We process information where it is necessary to provide the service you request, to comply with legal obligations, or for our legitimate interests in operating, securing, measuring and improving System Codex.
Sharing and international transfers
We do not sell personal information. We share it only with trusted providers where needed for services such as hosting, authentication, email and payments, or where the law requires us to. Some providers may process information outside the UK; where required, we use appropriate safeguards.
How long we keep information
We keep account, content, transaction and security information only as long as needed to provide System Codex and meet legal or record-keeping obligations. Aggregate analytics totals may be kept to understand long-term trends; temporary daily analytics values expire within 48 hours.
If you delete your account, we delete or anonymise associated personal information unless it must be retained for legal, security or record-keeping reasons.
Your rights
Depending on the circumstances, you may have rights to access, correct, delete, restrict or transfer your personal information, and to object to processing based on legitimate interests, including our internal analytics.
To exercise a right or ask a privacy question, contact feedback@system-codex.com. You can also complain to the Information Commissioner's Office (ICO).
